Position Summary:
The Administrative Assistant / Human Resources Assistant provides administrative and HR support to ensure efficient day-to-day office operations. This position assists management and employees with clerical duties, employee documentation, recruitment, onboarding, record keeping, and general Human Resources functions. The ideal candidate is organized, professional, dependable, and able to handle confidential employee information with discretion.
Key Responsibilities.
Administrative Support:
- Answer and direct phone calls, emails, and general inquiries.
- Greet employees, applicants, clients, and visitors professionally.
- Maintain organized electronic and physical filing systems.
- Prepare, scan, copy, file, and distribute documents.
- Assist with scheduling appointments, meetings, and interviews.
- Enter and maintain accurate information in company systems and spreadsheets.
- Prepare reports, correspondence, forms, and other office documents.
- Order and maintain office supplies as needed.
- Provide general administrative support to management and other departments.
Human Resources Support:
- Assist with recruiting, including posting job openings and reviewing applications.
- Schedule and coordinate candidate interviews.
- Assist new employees with applications, onboarding paperwork, and orientation.
- Maintain accurate and confidential employee personnel files.
- Assist with employment verification and employee documentation.
- Track attendance, call-offs, timekeeping information, and employee records.
- Maintain confidentiality regarding employee, payroll, and company information.
- Support employee relations and help communicate workplace concerns to appropriate management.
- Assist with terminations, resignations, and other employee status changes.
- Perform additional administrative and HR-related duties as assigned.
Qualifications:
- High school diploma or equivalent.
- Previous administrative, office, staffing, or Human Resources experience preferred.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Professional and courteous when working with employees and applicants.
- Ability to handle sensitive and confidential information appropriately.
- Strong attention to detail and ability to maintain accurate records.
- Proficiency with Microsoft Word, Excel, Outlook, and general office equipment.
- Ability to multitask and work effectively in a fast-paced environment.
- Bilingual English/Spanish.
